Nominations and Elections Policy and Procedures
Elections
Annual elections shall be conducted to elect officers and other elective positions
Eligibility
Only voting members are eligible to serve as a director, officer, or member of the Committee on Nominations and Elections.
The President and President- Elect must have been a member of WSGNA for two years prior to nominations.
Nominating Procedure
The immediate Past President shall serve as chair of the Committee on Nominations and Elections. If there is no Immediate Past-President, the incoming President shall, with the approval of the Board of Directors, appoint the Committee chair. In the accordance with policies and procedures established by the BOD, the Committee shall consider the qualifications of all candidates proposed by the membership or by the members of the Committee itself. The Committee shall create a slate of candidates for presentation to the membership.
Election Procedure
The Committee on Nominations and Elections shall recommend procedures for elections in accordance with applicable state laws, subject to the approval of the BOD. Election of officers, directors, or other elective positions shall be at the Annual Meeting of the Regional Society, or by mail ballot cast by voting members, with each member having one vote for each office to be filled. A plurality shall elect. In case of a tie, there will be a run off election between two tying candidates. Should the two tying candidates again tie, the tie shall be broken in accordance with policies and procedures established by the BOD. Results of the elections shall be tabulated and communicated to the members.
Nominations & Elections Committee Policy
The WSGNA Nominations & Elections Committee shall consist of the Immediate Past-President and the two Directors-at-Large. The Immediate Past-President shall be the chairperson of the committee.
In the event there becomes a conflict-of-interest with any committee member during the election process, that member shall step down from the committee and be replaced by another board member chosen by the President. -- Reviewed 8/4/05
Officers and Directors Policy
Required elective officers of the Regional Society shall be President, President-Elect, Immediate Past-President, Treasurer, and Secretary.
The Regional Society Board of Directors shall consist of a minimum of two (2) Directors at Large elected by the members of the Regional Society. The elective officers may serve simultaneously as directors to fulfill this requirement.
All officers of the Regional Society shall have authority and perform such duties in the management of the Regional Society as provided by the Regional Bylaws, the Articles of Incorporation, or as may be determined by the SGNA Board of Directors in policies and procedures not inconsistent with the Articles of Incorporation or the bylaws.
The job description of each Board member will include eligibility, responsibilities and duties, time commitment, general leadership characteristics, travel required. and reimbursement compensations.

Scholarship Selection, Policy and Procedure
- Responsibility
The WSGNA Scholarship Committee is comprised of the current past president and two directors at large. The past president serves as chair of this committee. The responsibilities of this committee include:
- Annual review and revision in late November or early December of the scholarship application process and selection criteria.
- Promotion of the scholarship process and its application.
- Collect and review all scholarship applications.
- Selection of the eligible candidates for the scholarships awarded.
- Notification to candidates and WSGNA Board of Directors of the decision making outcomes.
- Funding/Application Process:
- The number and dollar amount of each scholarship is determined each year by the Board of Directors. This is determined prior to the beginning of the affected year and is reflected in the minutes of the board meeting and in the yearly budget for the organization.
- The Sharon Worzalla Distinguished Service Award is open to donations from any source including members, vendors, and the WSGNA treasury.
- Members may receive the Sharon Worzalla Distinguished Service Award once in their lifetime.
- Members may repeatedly apply for any WSGNA scholarships available. Preference may be given to an applicant who has not received a scholarship in the past.
- Selection Requirements:
- Defined, is list of requirements to determine eligibility of all scholarship applicants.
- WSGNA member for 1 year or more as of January 1st of the year you are seeking the scholarship.
- Currently working in the field of GI.
- All applicants meeting the eligibility requirements will be randomly chosen for the scholarships.
- The Sharon Worzalla Distinguished Service Award (this award is currently being revised/simplified and will be available by end of Year 2009) is awarded to a qualified professional staff person who is currently employed and has a minimum of two years in the field of GI.
- ABCGN scholarship is awarded to a member of WSGNA who has fulfilled all prior Requirements set by ABCGN.
- Scholarship Selection:
Applications for the scholarship awards will be taken up to the deadline determined by the committee members. There will be two separate deadlines for the scholarships:
- Spring WSGNA Regional conference, Sharon Worzalla Distinguished Service Award (this award is being revised), National Course Scholarship and ABCGN Scholarship (May) deadline will be March 1st with recipients receiving notification by March 15th.
- Fall conference and Multi-Regional and ABCGN Scholarship (October) will be September 1st with recipients receiving notification by September 15th.
Applicants are to complete a scholarship form and submit to the current Director-at-Large Membership by the determined deadlines. Applications will be sent out in either the newsletter or in a special mailing the first week in January and the first week in July.
- The committee will announce the scholarship winners at the Spring and Fall WSGNA conferences.
- All record keeping for scholarships are the responsibility of the WSGNA Director-at-Large Membership.
- Scholarship money must be used in the calendar year it is awarded. Unused monies will remain in the WSGNA treasury.
